Step-by-step guide to upgrading your MongoDash plan, understanding prorating, and managing downgrades
Upgrading Your Plan
Upgrade your MongoDash plan to unlock additional features, increase limits, and scale with your team's growth.
Before You Upgrade
Review Plan Features
Before upgrading, review what's included:
- Team Plan: Collaboration features, scheduled queries, basic automation
- Business Plan: Data sync, bulk operations, advanced security, custom views
- Enterprise Plan: SSO, compliance reports, unlimited scale, dedicated support

Check Your Current Usage
View your current usage to determine the right plan:
Navigate to Workspace Settings > Billing > Usage.
Review key metrics:
- Active users
- Connections in use
- Queries executed this month
- Data transfer
- Storage consumed
Identify which limits you're approaching or have exceeded.

If you're consistently hitting plan limits, upgrading will improve performance and unlock additional capabilities.
Upgrading Your Plan
Self-Service Upgrade
For Free, Team, and Business plans:
Go to Workspace Settings > Billing > Plan & Subscription.
Click Upgrade Plan to view available options.
Select your desired plan and billing frequency:
- Monthly billing
- Annual billing (save 20%)
Review the pricing summary:
- Current plan cost: $0 (prorated)
- New plan cost: $XX (prorated for remainder of billing period)
- Next billing amount: $XX/month
Add payment method if this is your first paid plan:
- Credit card
- Debit card
- ACH transfer (annual plans only)
Review and confirm the upgrade.
Click Confirm Upgrade to complete the process.
Upgrades take effect immediately. You'll have instant access to all new features.

Enterprise Upgrade
For Enterprise plans:
Click Contact Sales in the upgrade flow.
Complete the contact form with:
- Company name and size
- Number of users
- Specific requirements (SSO, compliance, etc.)
- Preferred start date
Schedule a call with our sales team to:
- Review your needs
- Customize your plan
- Discuss pricing and terms
Receive a custom quote and contract.
Sign the agreement and provide payment details.
Work with our onboarding team to:
- Configure SSO
- Set up compliance features
- Train your team
- Migrate from previous plan
Enterprise sales typically complete within 1-2 weeks. Allow extra time for complex integrations or custom requirements.
Understanding Prorating
How Prorating Works
When you upgrade mid-cycle:
- Unused time credit - You receive credit for unused time on your current plan
- New plan charge - You're charged for the new plan, prorated for the remaining billing period
- Next billing cycle - Full charge for the new plan applies
Proration Example
If you upgrade from Team ($29/user/month) to Business ($79/user/month) on day 15 of a 30-day billing cycle:
Credit for unused Team plan time:
$29 × 15/30 days = $14.50 credit
Charge for Business plan (remaining period):
$79 × 15/30 days = $39.50 charge
Net charge today:
$39.50 - $14.50 = $25.00
Next month's charge:
$79 (full Business plan price)

Before confirming an upgrade, review the proration calculation:

Annual Billing Benefits
Save 20% with annual billing:

Switching to Annual Billing
Go to Billing > Subscription Details.
Click Switch to Annual Billing.
Review the prorated annual charge:
- Credit for remaining monthly period
- Annual subscription cost (prorated to start today)
Confirm the billing change.
Annual plans are billed upfront for the full year. Refunds for unused time are available within 30 days of upgrade.
Adding More Users
User Management
Add users to your workspace after upgrading:
Navigate to Workspace Settings > Team Members.
Click Invite Member and enter their email address.
Assign a role (Viewer, Editor, or Admin).
Click Send Invitation.
New users are billed at the next billing cycle. Mid-cycle additions are prorated.
User Billing Example
If you add 3 users on day 10 of a 30-day cycle (Business plan at $79/user):
Prorated charge per user:
$79 × 20/30 days = $52.67
Total charge for 3 users:
$52.67 × 3 = $158.01
Next month's charge includes new users:
$79 × (original users + 3)

Post-Upgrade Actions
Enable New Features
After upgrading, configure newly available features:
Team Plan:
Business Plan:
Enterprise Plan:
Update Team Settings
Review and update workspace settings:
- Security settings - Enable 2FA enforcement, set password policies
- Audit logs - Configure retention periods
- API access - Create API keys for automation
- Notifications - Set up alert channels
Downgrading Your Plan
Before Downgrading
Understand the impact of downgrading:
- Features above your new plan tier will become read-only
- Existing data is preserved but may not be editable
- Users above the new limit must be removed
- Connections above the limit must be deleted
Downgrade Process
Navigate to Workspace Settings > Billing > Plan & Subscription.
Click Change Plan and select a lower tier.
Review what will be affected:
- Features to be disabled
- Resources above new limits
- Required cleanup actions
Complete cleanup actions:
- Remove excess users
- Delete excess connections
- Archive or delete extra dashboards (if applicable)
Confirm downgrade. The change takes effect at the end of your current billing period.
Downgrades take effect at the end of your billing period. You retain access to all features until then.
Downgrade Refunds
Refund policies vary by billing type:

Managing Payment Methods
Adding Payment Methods
Go to Billing > Payment Methods.
Click Add Payment Method.
Enter payment details:
- Credit/debit card number
- Expiration date
- CVV code
- Billing address
Click Save Payment Method.
Optionally set as default payment method.
Updating Payment Methods
Update your payment method before it expires:
Navigate to Billing > Payment Methods.
Find the payment method to update and click Edit.
Update the details (expiration date, billing address, etc.).
Click Update to save changes.
MongoDash sends email reminders 30 days and 7 days before card expiration.

Billing Failures and Recovery
Failed Payment Handling
If a payment fails:
- Day 0 - Immediate email notification
- Day 3 - Automatic retry attempt
- Day 7 - Second retry attempt
- Day 10 - Final retry attempt + workspace warning
- Day 14 - Workspace access restricted to read-only
Recovering from Failed Payment
Update your payment method with valid information.
Click Retry Payment in the billing dashboard.
Confirm the payment processes successfully.
Full access is restored immediately upon successful payment.
If payment fails for more than 30 days, your workspace may be suspended and data may be deleted after 60 days.
Canceling Your Subscription
Cancellation Process
To cancel a paid subscription:
Navigate to Billing > Plan & Subscription.
Click Cancel Subscription.
Select a cancellation reason (optional but helps us improve).
Choose cancellation timing:
- End of billing period (recommended) - Keep access until period ends
- Immediately - Lose access right away, may receive prorated refund
Review what happens after cancellation:
- Workspace downgrades to Free plan
- Features above Free tier become unavailable
- Data is preserved but limited
Click Confirm Cancellation.
After Cancellation
After canceling:
- Access continues until the end of your billing period
- Workspace automatically downgrades to Free plan
- You can resubscribe anytime without data loss
- Billing stops automatically

Common Issues
Issue: Upgrade button is grayed out
- Ensure you're a workspace admin
- Check that payment method is valid
- Verify no outstanding invoices
Issue: Proration amount seems wrong
- Review the billing cycle dates
- Check if you have multiple users
- Contact support for clarification
Issue: New features not appearing
- Refresh your browser
- Log out and log back in
- Clear browser cache
- Wait up to 5 minutes for changes to propagate
