Inviting Team Members
Grow your team by inviting colleagues to collaborate in your MongoDash workspace. Control access with role-based permissions and streamline onboarding with bulk invites and SSO.
Invitation Methods
MongoDash offers multiple ways to invite team members:
- Email Invitation - Send invites to individual email addresses
- Bulk Invitations - Invite multiple members at once
- SSO Integration - Automatically provision users via Single Sign-On
- Invitation Links - Generate shareable links for quick onboarding
Inviting via Email
Navigate to Members - Click Workspace Settings in the sidebar - Select Members tab
Click Invite Members - Click the Invite Members button in the top right
Enter Email Addresses - Type email address - Press Enter or comma to add multiple - Add up to 10 emails at once
Select Role - Choose role: Viewer, Editor, or Admin - See role descriptions below
Add Optional Message - Include a personal message (optional) - Explain workspace purpose or first steps
Add a personal message explaining what the workspace is for and what team members should focus on first.
Understanding Roles
Assign appropriate roles based on team member responsibilities:
Viewer
- View dashboards and widgets
- Run queries on allowed connections
- Export data from queries
- Cannot create or modify resources
Best for: Stakeholders, executives, analysts who only need read access
Editor
- All Viewer permissions
- Create and edit dashboards
- Create and modify queries
- Share resources with team
- Cannot manage team members or workspace settings
Best for: Analysts, developers, team members actively building dashboards
Admin
- All Editor permissions
- Invite and remove team members
- Manage roles and permissions
- Configure workspace settings
- Manage MongoDB connections
Best for: Team leads, engineering managers, workspace administrators
Owner
- All Admin permissions
- Transfer ownership
- Delete workspace
- Billing and subscription management
Note: Each workspace has exactly one owner
Be cautious when assigning Admin roles. Admins can invite members, change roles, and modify critical workspace settings.

Anyone with the link can join your workspace until it expires or reaches maximum uses. Only share with trusted team members.

Configuring SSO
With SSO enabled, team members are automatically provisioned when they sign in for the first time.
Managing Pending Invitations
Track and manage outstanding invitations:
View Pending Invites
- Navigate to Workspace Settings > Members
- Click Pending Invitations tab
- View list of sent invitations
Resend Invitations
- Click Resend next to invitation
- New email sent to recipient
- Previous link remains valid
Revoke Invitations
- Click menu next to invitation
- Select Revoke Invitation
- Invitation link becomes invalid
Invitations expire after 7 days. Resend expired invitations to give members access.

Troubleshooting Invitations
Invitation Not Received
- Check recipient's spam folder
- Verify email address is correct
- Resend invitation
- Check workspace email sending limits
Invitation Link Expired
- Resend invitation from Members page
- New link will be generated
- Previous link becomes invalid
Cannot Accept Invitation
- Ensure recipient has created MongoDash account
- Check if workspace has reached member limit
- Verify invitation hasn't been revoked
