Switching Between Workspaces
Navigate between multiple workspaces and manage multi-workspace workflows
Switching Between Workspaces
Seamlessly switch between multiple workspaces to manage different projects, environments, or teams from a single MongoDash account.
Understanding Workspaces
Each workspace provides isolated environment:
- Separate connections - Each workspace has its own MongoDB connections
- Independent teams - Different members per workspace
- Isolated dashboards - Dashboards don't cross workspace boundaries
- Individual settings - Configure each workspace independently
- Distinct permissions - Your role varies per workspace
You can be an Owner in one workspace, an Admin in another, and a Viewer in a third, all with the same account.
Using the Workspace Switcher
Access and switch between workspaces:
Open Workspace Switcher - Click workspace name in the top left - Or use keyboard shortcut:
Cmd/Ctrl + K, then type workspace name
View Available Workspaces - See all workspaces you're a member of - Recent workspaces shown first - Search to find specific workspace
Select Workspace - Click workspace name to switch - Or use arrow keys and Enter
Workspace Switcher Information
The switcher displays for each workspace:
- Workspace Name - Display name
- Your Role - Current permission level
- Member Count - Total team size
- Last Accessed - When you last visited
- Workspace Icon - Custom logo if configured
Keyboard Shortcuts
Navigate workspaces efficiently with shortcuts:
Cmd/Ctrl + K- Open quick switcherCmd/Ctrl + Shift + W- Show workspace listCmd/Ctrl + 1-9- Switch to workspace by positionCmd/Ctrl + Shift + N- Create new workspace
Number shortcuts (Cmd+1, Cmd+2, etc.) switch to workspaces in the order they appear in your workspace list.
Managing Multiple Workspaces
Best practices for multi-workspace workflows:
Workspace Organization Strategies
By Environment
- Production Team
- Staging Environment
- Development Workspace
- QA Testing
By Project
- Project Apollo
- Project Phoenix
- Client Portal - Acme Corp
- Internal Analytics
By Team
- Engineering Department
- Data Science Team
- Product Analytics
- Executive Dashboard
By Database Type
- Production MongoDB
- Analytics Warehouse
- Audit Logs
- User Data
Naming Conventions
Use consistent naming to quickly identify workspaces:
- Environment prefix -
[PROD],[STAGING],[DEV] - Team indicator -
Engineering -,Data -,Product - - Purpose suffix -
- Analytics,- Monitoring,- Admin
Examples:
[PROD] Engineering - Main App[DEV] Data Science - ExperimentsProduct Analytics - User Behavior
Recent Workspaces
MongoDash remembers your recent workspace activity:
Quick Access
- Last Used - Most recent workspace appears first
- Frequently Used - Common workspaces ranked higher
- Pinned Workspaces - Pin favorites to top of list
Pinning Workspaces
Multi-Workspace Workflows
Common patterns for working across workspaces:
Development to Production Flow
-
Build in Dev Workspace
- Create and test dashboards
- Develop queries and aggregations
- Validate with team
-
Export Dashboard Configuration
- Export dashboard as JSON
- Save query templates
- Document widget configurations
-
Import to Production Workspace
- Switch to production workspace
- Import dashboard configuration
- Connect to production databases
- Verify and publish
Cross-Workspace Data Comparison
-
Open Production Workspace
- Note production metrics
- Export data if needed
- Screenshot current state
-
Switch to Staging Workspace
- Compare metrics
- Validate changes
- Test new features
-
Document Differences
- Use text widgets to note variances
- Create comparison dashboards
- Share findings with team
Team Coordination Across Workspaces
-
Executive Workspace
- High-level KPIs
- Cross-team metrics
- Strategic dashboards
-
Department Workspaces
- Team-specific metrics
- Detailed operational data
- Department dashboards
-
Project Workspaces
- Temporary project teams
- Project-specific databases
- Isolated environments
Workspace Context Indicators
Visual cues showing current workspace:
Header Display
- Workspace name in top left corner
- Workspace icon if configured
- Environment badge - Color-coded by environment type
Environment Colors
BusinessColor-code workspaces by type:
- Red - Production environments
- Yellow - Staging environments
- Green - Development environments
- Blue - General/other workspaces
Configure in Workspace Settings > Branding > Environment Type
Environment colors appear in the header, workspace switcher, and browser tab to prevent confusion between workspaces.
Browser Tab Management
Each workspace opens in its own context:
Tab Behavior
- Separate tabs - Each workspace can have multiple tabs
- Workspace context - All tabs in same workspace share context
- Independent sessions - Switch workspaces without affecting other tabs
Tab Title Format
Dashboard Name - Workspace Name - MongoDash
Example: User Analytics - Production Team - MongoDash
Mobile Workspace Switching
Switch workspaces on mobile devices:
Leaving a Workspace
Remove yourself from workspaces you no longer need:
If you're the workspace Owner, you must transfer ownership before leaving. Workspaces cannot exist without an owner.
Workspace Limits by Plan
Maximum workspaces you can be a member of:
| Plan | Member of Workspaces | Owned Workspaces |
|---|---|---|
| Free | 3 | 1 |
| Team | 10 | 5 |
| Business | 25 | Unlimited |
| Enterprise | Unlimited | Unlimited |
Performance Considerations
Optimize workspace switching experience:
Browser Performance
- Limit open tabs - Close unused workspace tabs
- Clear cache - Refresh if switching becomes slow
- Use recent workspaces - Avoid searching every time
Network Performance
- Workspace preloading - Recent workspaces load faster
- Connection caching - Database connections persist per workspace
- Lazy loading - Dashboards load on-demand
Troubleshooting
Cannot See Expected Workspace
- Check membership - Verify you were invited
- Check email - Look for pending invitation
- Contact workspace owner - Request access
- Refresh browser - Force reload workspace list
Workspace Switcher Not Opening
- Clear browser cache - Remove cached data
- Disable extensions - Test with extensions off
- Update browser - Use latest browser version
- Check console - Look for JavaScript errors
Wrong Workspace Selected
- Check workspace name - Verify in top left
- Look at connections - Ensure correct databases
- Check team members - Verify expected people
- Review recent activity - Confirm workspace context
